Call for Volunteers

Postby Moneydork » 08-11-2011 23:03

If you are interested in volunteering to assist with the organisation of the NZ MEGA 2012, either by volunteering to assist on the day of the MEGA (staffing a registration desk, geocoin swap desk, directing traffic, etc, etc) or by organising a group activity within the MEGA (be it for muggles, for children or for geocachers) then please register your interest in volunteering to assist here

I'm keen to help out as long as I can get involved in the activities as well! Am in Invercargill. An orienteerer and an IT geek with 644 finds and about 20 hides. Able to take time off before the event also if needed, just give me some warning so I can talk to the boss.... and I need to arrange accommodation also (will be doing it soon)!

Just a reminder to please use the form at this link to volunteer. The form fills a spreasheet that we will use to track the duties each of the volunteers has been asked to assist with.

We are still looking for additional volunteers for the following roles;

Registration Desk - staffing the 'arrivals' desk, meeting and greeting people as they arrive, handing out their registration packs, guiding them to parking or camping spots, etc (probably 2 hour shifts, but still to be determined).

Geocoin Desk - displaying, swapping, (potentially selling) geocoins to visitors. Keeping track of tracking numbers and maintaining a watchful eye over them for security reasons (roster still to be determined).

Security - conduct organised (seemingly random) walk around security checks of camping, vehicle parking and other areas looking for any sign of suspicous ativity (that is more suspicous than geocaching) potentially contacting the police or other services if there is a serious issue.

Just a reminder to please use the form at this link to volunteer.

My initial reaction to this, given that I have heard nothing whatsoever since I offered, is to withdraw my offer.
I would have been quite happy to do several of these, and in fact recall having mentioned that specifically. But the tone of your request implies that you have already allocated the volunteers you have, and need more.
If you can't simply do the basics - i.e. (i)acknowledge the offers you have had, and/or (ii) decline an offer, and/or (iii)make it clear that if someone thinks they have offered, but haven't been contacted, to re-do it, what confidence do you think that those volunteers are going to have in your organisational capability?

I'd happily volunteer for any (or all) of those if I knew for sure I'm going to be there, but it is probably still a few months before I can be sure of that.
I'd rather be geocaching!

Perhaps if you feel that you did make an offer of help, but haven't been contacted, you could re-do your offer, in case for some reason your offer didn't get in to the system???

Also it's quite possibly volunteer schedules have not been developed/confirmed yet as there are folk like Graeme.N who are still not certain of attending but would like to be involved if they are.

Hopefully you did not have your organising committee member hat on when you typed that  or are you saying the committee doesn't actually know what is in the "system"

Me personally - no I don't know every name that is in the system. I know a couple of people in areas I am sorting, but other than that? ?? And I don't know the actual first names/surnames that connect with every caching name in NZ and around the world, so in most cases unless I had a piece of paper in front of me with actual name/cacher name on it, I would not know. :) I'm sorry to say I've failed in memorizing them all. I realize it's a very serious fault. I will commit more time to rectifying my failings next week

Yours apologetically

We still have all of the offers in the google spreadsheet that links to the form that the link posted in this thread links to.
We are in the process of sorting out some of the more 'routine' tasks (registration, security, geocoin table, etc) and wanted to put out a last call for volunteers before allocating out tasks.

That said, if people who had put their names forward do now want to pull out, we'd much rather find out now than further down the track, closer to the event.

I've been in contact with the volunteers via email.
If there are still people who are interested in volunteering, they should fill in the form at the link in the first post of this thread.
We have quite a few volunteers, however the more we have, the less onerous the volunteer roster will be for others.
